Data Protection

This privacy policy of Projekt Interim GmbH, Mittelstrasse 14, 8008 Zurich (hereinafter “Projekt Interim” or “we”) informs you about how we handle and process personal data about you. We come into possession of this data when you visit our website, when you apply for or take part in our interim utilisation or when you work with us in any other way. We are responsible for ensuring that we comply with the applicable legal provisions and, in particular, fulfil the requirements of data protection law when processing your personal data.

“Personal data” (or “personal data”) is any information relating to the personal or material circumstances of an identified or identifiable natural person. This means that it is information that can be assigned to you personally and can say something about you. In these data protection provisions, the term “your data” is also used for this purpose. Processing” refers to any handling of your data, in particular the collection, storage, management, use, transmission, disclosure or deletion of your data.

In the following, we will inform you about what personal data we collect and store about you when you use our website, how we use this data and to whom we may disclose this data. You will also receive information about your rights with regard to our use of your data:

1) Scope and purpose of the processing of personal data

a) when you visit our website

If you use our digital offers without providing any further information, the web server technology we use automatically logs general technical visit information in so-called log files. This includes the IP address of the device from which you visit our website, information on the browser type, the Internet service provider and the operating system used, which pages of our website and which digital offers you access, as well as the time and duration of your visit.

We collect and process this information to enable the rapid and trouble-free use of our websites (connection setup and connection), to ensure and increase the security and stability of our systems and offers, to analyse the use of our offers and services, to collect general demographic information, to optimise our offer, to improve our customer service and for internal statistical purposes. The user is not personally identified in the process. Likewise, no connection is made between this automatically collected information and personal data stored by us

In addition, we use cookies and analysis tools (e.g. Google Analytics and Lead Forensics) when you visit our website. For more information, see sections 7 and 8 of this privacy policy.

b) when registering for our newsletter

If you would like to receive our newsletter with information about new interim utilisation projects and other offers and news from Projekt Interim, you must register for the newsletter via our website. This requires you to enter certain personal data. This concerns your

  • E-mail address;
  • First names and surnames; and
  • Preferences regarding the offers contained in the newsletter (type of interim use or search region).

We use this data to process and administer our newsletter. When completing the entries when registering for the newsletter, you guarantee the accuracy of the information you have entered.

By registering for our newsletter, we have the right to use your e-mail address for our advertising purposes until you unsubscribe from the newsletter. There is a link at the end of every newsletter we send out that you can use to unsubscribe from the newsletter at any time.

You can also unsubscribe from the newsletter at any time by sending an email to info@projekt-interim.ch.

c) when applying for interim utilisation

In order to record and process applications for interim use, it is naturally necessary to enter certain personal data. This concerns your

  • First names and surnames;
  • Address (full postal address, postcode, town/city, federal state/canton, country);
  • E-mail address;
  • Telephone number;
  • Date of birth;
  • Intended (intermediate) useful life;
  • Details of any projects you wish to realise as part of the interim use;
  • Previous applications to Projekt Interim GmbH;
  • Previous interim utilisation at Projekt Interim GmbH; and
  • Details from your debt collection register extract.

In addition to the information marked as mandatory for the application as an intermediate user, you can voluntarily enter further personal data (e.g. in comments).

We use the data to select our interim users, to process and administer interim usage projects, to check the plausibility of the data entered, i.e. to establish, organise the content of, process and amend the contractual relationships concluded with you and for proper invoicing.

By submitting your application, you guarantee the accuracy of the information you have provided.

d) when contacting our website as the owner

If you contact us electronically or by telephone to request a quote for an interim use project or to commission us with the organisation and management of an interim use, we will need your data: First name and surname, your address and the address of the interim use property (full postal address, postcode, town) and any other data that we require for the preparation of an offer or the legal structuring, planning and organisation of the interim use.

We store all information that we collect or receive in connection with offers or interim utilisation commissioned by you. We are authorised to use this information for our own marketing and analysis purposes.

e) when using the chatbot

When you use our chatbot, the following data is processed:

  • Content of the communication: The messages you enter or send, such as enquiries or contact information.
  • Technical metadata: Information about the end device used, the browser type, the IP address and the date and time of use.
  • Optional voice messages: If you use the voice message function, your audio file is automatically converted into text (voice-to-text). The audio file is deleted immediately after processing.

This data is processed for the following purposes:

  • Answering your enquiries and providing the requested support.
  • Creation of anonymised statistics on the use of the chatbot in order to improve its functionality and user-friendliness.
  • Analysing and rectifying technical problems and ensuring system security.

The data entered will only be used to process your enquiry and will not be processed for other purposes. If you enter contact details (e.g. email address or telephone number) in the chatbot, these will only be forwarded to the relevant employee in order to process your enquiry. This contact data is not stored in the chatbot system.

2) Use and disclosure of data to third parties

By agreeing to this privacy policy, you consent to Projekt Interim processing your personal data for the following purposes:

  • for the fulfilment and processing of contractual or legal obligations
  • to inform you about updates or changes to our projects, services or events and in the event of amendments to the GTC;
  • to combat fraud;
  • for invoicing;
  • to develop and maintain the customer relationship;
  • for marketing purposes;
  • Market research, conducting analyses and surveys and for statistical purposes;
  • for the needs-based design and improvement of services and products;
  • for the evaluation of user behaviour.

We work together with other companies or persons or commission other companies and persons with the processing and storage of data. They may thus gain access to your personal data or usage data, but only to the extent necessary to fulfil their tasks or to process the contract.

For this purpose, we may pass on the necessary data to transport companies, banks and other service providers. These service providers use your data exclusively for order processing and not for any other purposes.

Apart from the disclosures described above, we only disclose your personal data if you have expressly authorised us to do so, if there is a legal obligation to do so or if this is necessary to enforce our rights (in particular to enforce claims arising from contractual relationships).

In the event of a sale, merger or other reorganisation of our company (or part of our company), personal data may be transferred, sold or otherwise shared with third parties.

When using the chatbot, technical service providers may be involved to ensure the operation and functionality of the chatbot. These service providers will only have access to the data to the extent necessary to provide their services. They are contractually obliged to process this data exclusively in accordance with our instructions and the applicable data protection regulations.

The data collected via the chatbot will not be passed on to third parties unless this is necessary for the processing of your enquiry or required by law.

3) Processing of your personal data for marketing and analysis purposes

We endeavour to continuously improve our website and make it both more user-friendly and more secure.

To this end, we continuously analyse, aggregate, link, pseudonymise and anonymise user-specific historical and future data using various analysis tools. We can use and exploit the findings from your user behaviour for the further development of our services. We mainly use pseudonymised or anonymised data.

The data collected via the chatbot is not used for marketing purposes. Any analysis of chatbot usage is exclusively anonymised or pseudonymised and is used solely to optimise the service.

4) Right to information, correction, deletion or complaint

You can assert your data protection rights at any time and request information about whether and what personal data we process about you. You can also have your personal data corrected, blocked or deleted at any time by sending a written notification and appropriate proof of your identity to the following e-mail address: info@projekt-interim.ch.

We reserve the right to correspond with you in this context in order to rule out misuse.

If our statutory or contractual retention obligations (e.g. for billing purposes) require us to retain the personal data, we will block it even after your request to the extent necessary for this purpose.

You also have the right to lodge a complaint with the competent supervisory authority regarding our data processing. You can do this with the supervisory authority at your place of residence, workplace or the location of the alleged data protection violation.

5) Retention period of your personal data

We only store your data for as long as is legally permissible and useful for the organisation and processing of our interim use projects. In the case of analyses, we store your data until the analysis has been completed. If we store your data on the basis of a contractual relationship with you or as part of an interim utilisation project, we store your data for at least as long as the contractual relationship exists or the corresponding interim utilisation project is running and at the longest until the expiry of limitation periods for possible claims or as long as statutory or contractual retention obligations exist.

Personal data collected via the chatbot will only be stored for as long as is necessary to process your enquiry. Voice messages are deleted immediately after conversion to text.

6) Data security

Appropriate technical and organisational security measures help us to protect your personal data stored by us against unintentional, unlawful or unauthorised manipulation, deletion, modification, access, disclosure or use and against partial or complete loss. We are constantly adapting our security measures in line with technological developments. However, we accept no liability for the loss of data or its access and use by third parties.

All data exchanged via the chatbot is protected using modern encryption technologies to ensure secure transmission. The chatbot is integrated into our existing security infrastructure to prevent unauthorised access or misuse. The technical infrastructure is regularly checked and updated.

7) Cookies

Cookies are information files that your web browser automatically stores on your computer’s hard drive when you visit our website. Cookies do not damage your computer’s hard drive, nor do they transmit personal user data to us.

We use cookies to keep track of who visits our website and derive from this how often certain pages or offers are visited, which parts of the website are particularly popular and generally how our website is used. Cookies can also be used to utilise options you have selected or choices you have made as settings to make your visit to our website more convenient.

In general, the use of cookies serves to improve our services and make them more effective and secure. However, cookies are also used to collect information in order to offer you adverts that may be of interest to you. Most Internet browsers accept cookies automatically. However, you can configure your browser at any time so that no cookies are stored on your computer or a message always appears when you receive a new cookie.

Our website can also be used without accepting cookies, although individual functions may then be restricted.

8) Tracking and analysis tools

We record the use of our website using various third-party systems. It is possible that the data collected by us or the third-party providers of such systems may be passed on to third parties for processing.

The main analysis tools used are Google Analytics and Lead Forensics. The data collected by Google Analytics can generally be transmitted to a Google server in the USA, whereby the IP addresses are anonymised using IP anonymisation so that they cannot be assigned. The IP address transmitted by your browser as part of Google Analytics is not merged with other Google data. You can object to the collection and processing of this data by Google Analytics by setting an opt-out cookie that prevents the future collection of your data when you visit this website: http://tools.google.com/dlpage/gaoptout?hl=de

9) Plug-ins and other third-party integrations

Our website is networked with third-party functions and systems, for example by integrating third-party social network plug-ins such as Facebook, LinkedIn or Instagram. As soon as you click on their links, you leave the sphere of influence of Projekt Interim. Projekt Interim accepts no responsibility for the content or legal liability of third-party websites to which a link exists. The terms of use and data protection provisions of these third parties apply.

If you have a user account with these third parties, it may also be possible for these third parties to measure and analyse your use of our website. Further personal data, such as IP address, personal browser settings and other parameters may be transmitted to these third parties and stored there. We have no control over the use of personal data collected by third parties in this way and accept no responsibility or liability.

11) Up-to-dateness and changes to the data protection provisions

Due to the further development of our website or the implementation of new technologies, it may become necessary to amend these data protection provisions. We will notify registered users by e-mail (to the e-mail address provided during registration) of any significant changes to the data protection provisions.

You can also access the current data protection provisions on our website at any time. We recommend that you visit our privacy policy at regular intervals to keep up to date with the latest information.

The introduction of new technical functions, such as the chatbot, may result in these data protection provisions being amended. Changes will be published on our website.

The original privacy policy is written in German. The English version is only intended to make it easier for non-German-speaking users and customers to understand. In the event of disputes regarding the content of the privacy policy, the German text shall take precedence.
